Key Roles & Responsibilities
1. Recruitment Coordination
Source candidates through job portals, referrals, consultants, and social media platforms.
Screen resumes and coordinate interviews.
Schedule interviews and communicate with candidates.
Maintain recruitment trackers and candidate databases.
Conduct reference and document verification.
Prepare offer letters and joining documentation.
2. Onboarding & Employee Lifecycle Management
Manage employee joining formalities and induction processes.
Collect and verify employee documents.
Create and maintain employee personnel files.
Update employee records in HRMS.
Process confirmations, transfers, promotions, and employee status changes.
3. Attendance & Leave Administration
Maintain daily attendance records.
Monitor employee leave and attendance compliance.
Resolve attendance discrepancies with employees and managers.
Prepare monthly attendance reports and payroll inputs.
4. Payroll Support
Prepare salary working sheets and payroll inputs.
Maintain records of overtime, incentives, and deductions.
Process reimbursement and expense claim documentation.
Coordinate Full & Final Settlement documentation for exiting employees.
5. Exit Management
Coordinate employee resignation and exit formalities.
Conduct exit interviews and maintain records.
Manage clearance processes and asset recovery.
Prepare separation-related documentation.
6. Learning & Development Coordination
Schedule and coordinate training programs.
Maintain training attendance and feedback records.
Update training matrices and competency records.
Support implementation of annual training plans.
7. Employee Engagement Activities
Coordinate employee engagement initiatives and events.
Organize birthdays, festivals, sports activities, and recognition programs.
Support employee communication and welfare activities.
Assist in implementing employee recognition programs.
8. Travel & Administrative Coordination
Arrange flight, train, bus, and hotel bookings.
Coordinate travel itineraries and approvals.
Maintain travel records and supporting documents.
Support business card, employee ID card, and administrative requests.
9. Expense & Vendor Coordination
Process employee reimbursement claims.
Maintain expense records and supporting documents.
Coordinate with vendors for HR-related services.
Track invoices and payment documentation.
10. HR Documentation & Record Management
Maintain employee files and HR databases.
Issue appointment letters, confirmation letters, experience letters, and other HR documents.
Ensure proper filing, archiving, and document control.
Maintain confidentiality of employee information.
11. ISO Documentation & Audit Support
Maintain HR records as per ISO requirements.
Update training records, registers, trackers, and controlled documents.
Support internal and external audit activities.
Maintain audit evidence and CAPA records.
Ensure HR documentation is accurate, traceable, and audit-ready.
12. HR Reporting & Tracker Management
Maintain recruitment, attendance, leave, training, and employee movement trackers.
Compile HR data for monthly MIS reports.
Generate routine HR reports as required by management.
